EZ BH Expenses
Privacy Policy

EZ BH Expenses ("the Service") is an internal expense-tracking application operated by EZ BH LLC ("we," "us"). It is used by our team and our bookkeepers to categorize and document business expenses across our companies. This policy describes what information the Service handles and how we protect it.
Information we collect
- Account information: the name, email address, and a securely hashed password for each authorized user.
- Financial account data via Plaid: when an administrator connects a company bank or card account through Plaid Inc., we receive account names, balances, and transaction data (date, merchant, amount) for the connected accounts.
- QuickBooks Online data via Intuit: when an administrator connects a company's QuickBooks Online account, we access that company's chart of accounts, expense transactions, and company name through Intuit's API, solely to match transactions and write expense categorizations back to QuickBooks.
- Content you add: receipts, invoices, notes, categories, and flags attached to transactions.
How we use information
Information is used only to operate the Service for our own bookkeeping: importing and categorizing transactions, attaching documentation, reconciling against QuickBooks Online, and producing reports for our bookkeepers. We do not sell, rent, or trade any information, and we do not use it for advertising or share it with third parties other than the service providers named below.
Service providers
The Service relies on Plaid Inc. (bank connectivity — see the Plaid End User Privacy Policy), Intuit Inc. (QuickBooks Online API), and Railway Corp. (hosting, United States). Each receives only the data necessary to perform its function.
Security
All traffic is encrypted in transit with TLS. Financial access tokens (Plaid and Intuit) are encrypted at rest with AES-256-GCM. Passwords are stored only as bcrypt hashes. Access requires authentication, sign-in attempts are rate-limited, and access is restricted to authorized users of EZ BH LLC and its bookkeepers.
Data retention and deletion
Data is retained while it is needed for bookkeeping and legal record-keeping. Disconnecting a bank connection deletes its imported accounts and transactions from the Service; disconnecting QuickBooks revokes our API access to it. You may request deletion of any data by contacting us at the address below.
